OVERVIEW: The overall objective is to track, record and acknowledge all monetary donations made to Ronald McDonald House of Fort Worth (RMHFW). The position is responsible for managing the system data to ensure the accuracy and integrity of the database, overseeing data input & output and user training and support. Responsibilities include importing and exporting of data, extracting and analyzing data, report writing, developing and implementing policies to guide data entry, documenting database changes, and making sure that the database effectively captures donor\guest\volunteer information and generates accurate financial and analytical reports.

The Database Coordinator will also be responsible for writing and preparing donor acknowledgement letters, weekly deposit, RADAR reporting through Ronald McDonald House Charities, filing and other development or finance tasks as requested.


Database Management 

  • Ensure the database effectively captures donor\guest\volunteer information and generates accurate financial and analytical reports
  • Maintain data accuracy to eliminate duplicate records, inconsistent data, overall database integrity and the accuracy of data entered
  • Serve as a technical consultant as it relates to the preparation and tracking of data entry, reporting, training, mailing lists and other Exceed functions
  • Oversee the maintenance of the Exceed Policies and Procedures manual, as well as a training manual, to guide and educate users in order to improve the flow of information, processes for inputting and overall database efficiency

Donor Acknowledgements and Weekly Deposit

  • Ensure timely, personalized gift processing while adhering to schedule and accountability
  • Prepare donor specific, event or appeal acknowledgement letters on a bi-monthly basis
  • Record all checks, cash and credit card payments in cash log, Exceed database and prepare weekly deposit; weekly deposit reviewed and approved by CDO and given to CFO
  • Together with the CDO and CFO, ensure the integrity of the financial data entered into Exceed and weekly deposit log

Mailing and Donor List Reporting

  • Prepare accurate and consistent mailing lists and donor reports for all appeals throughout year
  • Generate donor, volunteer, or guest reports for internal review and information
  • Compile required information needed for quarterly TruSense reports to be submitted to
  • TruSense mailing house
  • Ensure addresses meet US postal standards and are kept current

Special Events

  • Coordinate with Development and Finance team for handling of finances at events
  • Work all special events as requested by Development Department

  • Bachelor’s degree or equivalent work experience
  • Ability to function responsibly and autonomously
  • Excellent decision making skills, sound judgment and the ability to exercise authority
  • Ability to function as a team member
  • Excellent organizational skills, attention to detail and verbal and written communication skills
  • Skilled knowledge of Microsoft Office software, including basic Excel spreadsheet skills


  • Previous experience with Exceed or other donor database software and non-profits
